01

The challenge

As employees bring AI into research, reports, and document work, the business needs a way to direct the resources behind that work. Company Brain puts the company's own GPU capacity and API token budget at the center, alongside a consistent way to manage who can use AI, which resources they can access, and how usage is allocated.

02

Our approach

Company Brain provides a managed AI workspace that can use company-owned GPUs and connect to model providers through the company's own API credentials and token budget. A shared entry point lets the business manage members, model budgets, and usage. Individual work environments retain conversations, files, and tasks so employees can continue where they left off.

What we delivered

  • Individual workspaces that retain conversations, files, and tasks, with tools for Word, Excel, PowerPoint, and PDF.
  • Connections to company-owned GPUs and company-managed model-provider APIs, with shared member, budget, and usage management.
  • Authorized, read-only Microsoft 365 connections for email, calendars, OneDrive, and SharePoint, alongside tool-operation records.
03

The details we handled

Document tools support Word, Excel, PowerPoint, and PDF. Authorized, read-only Microsoft 365 connections bring email, calendars, OneDrive, and SharePoint data into information gathering and organization. Employees can move from work data to a document draft, while separate work environments and records of tool operations support day-to-day management.

  • Bring company-owned computing and provider accounts into a common workspace while preserving control over access and resource budgets.
  • Keep employees' work environments separate while allowing authorized Microsoft 365 information to support document work through read-only connections.
04

What changes

Company Brain gives the business a shared foundation for AI work using its own computing resources, provider accounts, and token budgets. Employees can continue document tasks in their own workspaces, while the company manages membership, access, and usage through a common entry point.

How to verify delivery

Acceptance checks for a comparable implementation. Agree on representative inputs and acceptance criteria with your team before verification.

  1. Run a representative task through each configured GPU or provider API connection; inspect the associated member settings, budget, and usage records.
  2. Create a document in an employee workspace, sign out, and resume the task; check that the conversation and files remain available only to the appropriate account.
  3. Retrieve an authorized Microsoft 365 item, compare the retrieved information with its source, and confirm that the connection has read-only permissions.

Every thoughtful implementation starts with understanding the work.
