The challenge
A financing case passes through several roles, from submission and document review to contracts and payment operations. Are the documents complete? Who is handling the case now? What still needs confirmation? When information is fragmented, cases can stall between waiting and follow-up questions. As business grows, these handovers need a consistent approach.
Our approach
Together with a partner, we helped Jih Sun–Ta Chong in Malaysia build a financing system. Starting with the full path of an individual case, we translated its information, responsibilities, and processing sequence into the platform. Submission details, identity checks, credit information, contracts, and payment workflows connect with one another, while document recognition helps reduce data entry and preparation.
What we delivered
- A shared financing case workflow connecting submission details, identity and credit information, contracts, and payment operations.
- Document recognition that prepares case information for staff review, with the corresponding documents available in the case record.
- Case progress and responsibility records showing the current stage, the owner of missing-document requests, and items awaiting confirmation.
The details we handled
After implementation, responsible staff can follow a case to see its documents and processing status. Requests for missing documents have a clear owner, and reviews and confirmations retain their corresponding responsibilities. Managers can see where a case has stopped and coordinate resources around the blocker. Sales staff also have a basis for updating clients on progress.
- Each handover must carry the case documents and the next person's responsibility together. A stage label alone does not explain who should resolve a missing item.
- Recognizing a document is different from completing a review. Extracted information, outstanding documents, and the responsible person's confirmation need to remain distinguishable.
What changes
The financing case becomes a shared record of documents, progress, and responsibility. Staff can pick up the work from its current stage, managers can identify the handover that needs attention, and sales can explain progress using the same case information. New colleagues and additional cases have a consistent workflow to follow.
How to verify delivery
Acceptance checks for a comparable implementation. Agree on representative inputs and acceptance criteria with your team before verification.
- Walk a representative case through submission, review, contract, and payment stages; check that the relevant documents and responsible role remain identifiable at each handover.
- Compare recognized fields with their source documents and confirm that staff can review the information before continuing the case.
- Introduce a missing-document request and check that the case shows its owner, pending item, and current stage for both operational and management review.
Every thoughtful implementation starts with understanding the work.
